Adding the Zoom App

- Click on your profile picture on the top right of Cleary and clicking Settings: http://<your-company-subdomain>.gocleary.com/settings/integrations
- Click the Integrations tab then Authorize at the Zoom Card
- An option will be presented in front of a checkbox ‘Allow this app to use my shared access permissions’
- If you check it, you’ll be able to generate content* based on the Zoom Recordings that were recorded by your colleagues as well as long as you have shared access permissions*
- If you keep it unchecked you can only access only your own recordings
- Click Allow and you’re good to go

In order to give access to recordings of everyone on the team you have to give the “View the recording content” permission to the users.

Generate Content based on the Zoom Recording
A big part of the content generation comes from the transcript generated from the zoom recording, but you have to set it up first.
- Go to Zoom > Settings > Recordings -> Cloud Recording
- Make sure you check the option to “Save closed caption as a VTT file”
Zoom Recap Integration
Whenever you have the application installed on your Cleary platform, you'll be able to make use of it in the following ways:
Events Auto Generated Recap
While creating a new event you'll be able to provide the Zoom meeting URL and mark if you want the recap to be generated for you after the event is done
- Go to /events
- Click on 'Create an Event' button
- Click on any template
- You'll see something similar to the image below
Important Note: The Zoom meeting host must have the Cleary integration installed for this to work.
The flow goes as follows:
- The Zoom meeting URL is added to an event and the checkbox for automatic generation is checked
- The meeting happens and the host starts recording
- The meeting finishes and Zoom starts processing the recording. Depending on the duration of the meeting this could take some minutes (or even close to an hour if it’s a long meeting). When it finishes, the meeting host will get separate emails from Zoom saying that the recording and transcription are available.
- The recap generation will start if:

- The host user ID coming from the Zoom event corresponds to a Cleary user.
- No recap has been created for the event before
- The event has already started or will start in the next hour. This is to prevent creating recaps for events in the future

- If the Zoom meeting host has at least the Article Creator permission, they will receive a "Your article "{Event_name} Recap is ready!" email. If the user doesn’t have the right permissions, they will not receive this email since they won’t be able to see/edit the article.
Manual Event Recap Generation
Users can manually trigger the recap generation through the event page, in case they forgot to add the link, forgot to check the checkbox or encountered errors generating the recap (for example, the host didn’t have the Zoom integration installed). For this button to appear, all the following conditions should match:
- The logged in user is able to manage the event
- The event video conference link is a Zoom link with a meeting ID
- There’s a Zoom recording tied to the Zoom meeting id and the logged in user has access to it
- It’s a past event (not future or live)
After clicking the button, the recap generation starts and follows the same process as the automatic recap after we receive the notification from Zoom.
Generate content from a Zoom recording on Articles and Pages
Whenever you're editing an article or a page in Cleary, you'll have the option to generate the content based on the Zoom recording, given a Zoom meeting URL.
- You only need to click the Video Icon on the editor and select the Zoom option
- Then you'll have the option to check "Generate video chapters and summary"
- As long as you pick a meeting that already has a Zoom Recording + Transcript, Cleary will auto-generate content for your page/article
Removing the Zoom App
In case you want to remove this integration in Cleary, you can follow these simple steps:
- Open your personal integrations page <cleary url>/settings/integrations
- Click on 'Uninstall' in the Zoom Integration Card
You can also remove the integration in the Zoom Marketplace directly:
- Login to your Zoom Account and navigate to the Zoom App Marketplace.
- Click Manage >> Added Apps or search for the "Cleary" app.
- Click the "Cleary" app.
- Click Remove.
